Who this policy covers
MeetKyra is operated by Crann Enterprises LLC. This policy describes information from visits to our website at meetkyra.ai and its forms, free clinic audits, calls Kyra handles for client clinics, and texts and emails we send to their patients about booked visits. The website is for chiropractic clinics and groups of any size in the US, not for submitting patient records.
What we collect
Audit request form (/audit): your name, clinic name, work email, website or Google Business Profile link (or both), clinic city and state, your role, approximate calls per week, who answers after hours, and your consent to run the audit and reply. Scheduling software, phone number, and notes are optional. We also record your optional audit texting consent as yes or no. An unchecked box means no texting consent.
Contact form (/contact): your name, work email, message, and consent to receive a reply. Your clinic name is optional.
We also record the submission time, form name, the result of our spam checks, and notification status. To limit automated submissions, we keep short-lived request counts under a one-way code derived from the IP address, rather than storing the raw address in those counters.
Campaign and referral details: with either form, we also record how you reached our site: the campaign tags in the link you followed (its source, medium, campaign and content), any ad click identifier that link carried, the page on our site where you first landed, when you arrived, and when you sent the form. Your browser holds these details only for that visit, and they reach us only if you send a form. We use them to learn which campaigns and pages lead clinics to ask for an audit or a meeting.
Do not include patient information, passwords, payment details, or other sensitive information in either website form.
Why we collect it
- To check the clinic details needed for your audit, run it, and reply with the findings.
- To answer your message and discuss our services if you ask us to.
- With your separate texting consent, to send texts about your free audit request.
- To protect the forms against automated abuse and check whether a request reached us.
- To measure which ads, campaigns and pages lead to audit requests and meeting bookings, so we spend on what works and stop what does not.
We do not sell your details or pass them to anyone selling something else.
MeetKyra audit texts
If you opt in, MeetKyra sends texts about your free audit request, such as scheduling the audit call. Message frequency varies. Message and data rates may apply. Texting consent is optional and is not required to request an audit.
Reply STOP to opt out or HELP for help. You can also contact ryan@meetkyra.ai. See our texting terms.
MeetKyra never sells or shares mobile numbers or texting consent with third parties.
Patient texts for clinics
When Kyra books a visit at a client clinic, MeetKyra may text that patient about the visit: a booking confirmation, appointment reminders, and follow-up to help them attend or rebook. Each text carries the clinic's name and is sent by MeetKyra on the clinic's behalf. Texts carry no health details.
We text a patient only with their consent, for example when they say yes after Kyra asks during the call. Texting consent is optional and is not a condition of booking a visit.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. You can also contact the clinic or email ryan@meetkyra.ai. See our patient texting terms.
MeetKyra never sells or shares mobile numbers or texting consent with third parties. The clinic receives a patient's details only to provide the visit they booked. Patient texts follow the same privacy commitment as clinic calls, described in Calls answered by Kyra. We never sell patient data or use it for marketing.
We may also email a patient about their visit, such as a confirmation or reminder, at an email address they give us.
Where website information goes
Submissions from both forms are stored with our hosting and security provider and emailed to the owner through our email delivery provider, from a MeetKyra email address. These service providers process these details on our behalf so we can receive and answer your request. The forms do not send an automatic confirmation email to you.
To keep out automated submissions, both forms use checks that run on our side: a hidden field people never fill in, how long the form took to complete (your browser sends that time with the form), and a limit on how often one network address can send. No third-party bot check loads in your browser.
The free audit uses public information about your clinic, such as your website, business listings, and how Claude, ChatGPT, Grok, and Gemini describe it, plus one after-hours test call to the clinic. We use those findings to prepare your report. The audit does not need patient records or access to your private scheduling system.
When advertising measurement tags are turned on, the advertising platforms that provide them receive the information described under Advertising measurement.
We may also disclose information when required by law.
Analytics and cookies
We do not run a separate page-view analytics service on this site, and the site itself sets no cookies. If we add one, we will describe it here before it starts.
The advertising measurement tags described below may set cookies or similar identifiers, but only once we turn them on.
Advertising measurement
We advertise our services to clinics online. To see whether those ads lead to free audit requests and meeting bookings, we may run measurement tags from the advertising platforms we use on this site. Each tag is off unless we turn it on, and none runs on draft versions of this site.
When a tag is on, it and the platform behind it may collect information about your device and browser (such as browser type, IP address, language and screen size), the pages you visit here and when, the ad or link that brought you, and whether you sent an audit request or opened a meeting-booking link. Tags may set or read cookies or similar identifiers in your browser. A tag reports that a request was sent or a booking link was opened, not what you wrote in a form: your name, email address, clinic details and message are not part of it.
The platforms process this information under their own privacy policies. They may combine it with other information they hold, including about an account you have with them, and use it to measure and improve ads, which can include showing you ads based on your visit.
You can limit this tracking: block or delete cookies in your browser settings, use your browser's private browsing or tracking protection, and turn off ad personalization in the ad settings of the platforms and accounts you use. Industry opt-out tools also let you opt out of interest-based ads from many companies. Blocking these tags does not stop the forms or any other part of the site from working.
Calls answered by Kyra and patient information
Kyra collects only what booking needs: name, phone number, reason for visit, and preferred time. She does not ask for medical history, Social Security numbers, or card details. We never sell patient data or use it for marketing. A business associate agreement (BAA) is not included in the standard service.
Calls and texts are handled by two kinds of service providers: telephony and messaging providers, which carry calls and texts, and speech and AI processing providers, which transcribe calls, give Kyra her voice, process conversations and classify calls. Booking details go to the scheduling system or customer relationship software the clinic connects. None of our call providers trains on call data. We turn on free no-retention settings wherever available.
Patients' requests about their health information, including access, corrections, or copies, go to their clinic. This website policy does not replace the clinic's notice of privacy practices.
Kyra discloses that she is an AI assistant in every greeting and asks the caller for permission before recording.
Kyra is not an emergency service. A caller describing an emergency is told to hang up and call 911.
Retention and protection
Patient data is encrypted in transit and at rest. Access is limited to the clinic and named MeetKyra staff. The dashboard requires two-factor sign-in. We tell the clinic within 72 hours of any incident involving its patient data.
We keep recordings and transcripts for 90 days. Clinics can request an export or deletion of their patient data. When a clinic leaves, we delete all of its patient data.
We use website submissions to handle your request.
Your data requests
To ask what website information we hold about you, or request a correction or deletion, email ryan@meetkyra.ai. Tell us which form you used and the email address you entered so we can locate the request. Do not include patient information.
For health information from a call to a clinic, contact that clinic directly.
Changes to this policy
We may update this policy. We will change the effective date when we do and identify significant changes on this page.
